Administration/Technical Assistant – Perth

Philip Chun is a multi-disciplinary consulting company providing certification, building code, accessibility, fire and life safety consulting services to the construction and development industry.

We currently have a position available for a permanent part-time Administration/Technical Assistant in our Perth office. This role will ensure that all administration and technical assistant duties are carried out professionally and efficiently. This will include, but not limited to, the scope as defined below.  In addition, this role will also be supporting the office with their administration needs and priorities.

This role is Monday to Friday, 5 hours per day (9am – 3pm).

To be considered for this position you must possess:

  • Prior experience in an administration role with a flexible and mature outlook.
  • A demonstrated ability to effectively communicate with people at all levels.
  • The ability to work with a highly motivated team of consultants and also autonomously.
  • Excellent organisation skills including the ability to multitask to ensure deadlines are met.
  • Computer and keyboard skills and fully competent in the use of the Microsoft office package and Outlook.
  • An understanding of database systems with a preference given to persons having used Deltek Vision previously.

Duties and Responsibilities:

  • Review of Request for Tender (RFT’s) by private and Government sectors and prepare and issue relevant Fee Proposals.
  • Reviewing of Consultancy Agreements and Contracts issued by clients to ensure consistency with the Phillip Chun Fee Proposal.
  • Typing letters and reports for the Technical team
  • Undertake data entry as required as well as maintenance of soft and hard copy file systems.
  • Other tasks as required to assist in the approvals process.
  • Office management tasks, including procurement, travel bookings, diary management and other tasks as required to ensure the smooth running of a small office.
  • Answer inbound phone calls and undertake reception duties.

Building Surveyor – Perth

Philip Chun is a multi-disciplinary consulting company providing certification, building code, accessibility, fire and life safety consulting services to the construction and development industry.

We currently have a position available for a Building Surveyor in our Perth office.  This a full-time role with an immediate start date.

To be considered for this position you must possess:

  • A minimum of 3 – 5 years practical experience as a Building Regulations Consultant or Registered Building Surveyor as required in either Local Government or private sector.
  • Registration as a Building Surveyor – Building Surveying Level 1 or 2, however consideration will be given to candidates near to registration.
  • Preference is for an applicant who possesses good demonstrated experience in completing certification work for a variety of class 2-9 building projects.
  • Extensive knowledge and experience with all aspects of the Building Code of Australia and relevant Australian Standards.
  • Tertiary qualifications in a relevant field.
  • A demonstrated ability to effectively communicate with people at all levels.
  • The ability to work within a highly motivated team of consultants.
  • Excellent organisation and communication skills.
  • Membership or eligibility for membership with AIBS is desirable
  • Computer and keyboard skills with knowledge and understanding of Microsoft software.
  • Driver License.

Duties and Responsibilities:

  • Carry out the day to day functions/role of a Building Surveyor
  • NCC assessment and reporting, including carrying out inspections of buildings.
  • Review of documentation for Certificate of Design Compliance issue
  • Prepare and issue inspection reports
  • Advice to clients in a written and verbal consulting role (attend meetings)
  • Assistance with assessment of performance based solutions on all classes of buildings including liaising with fire safety engineers and Department of Fire and Emergency Service.
  • Assist with auditing of buildings.

Student / Cadet Building Surveyor/Certifier – Brisbane

A vacancy exists to join our Building Code team with the position based in Brisbane. As a lead consultancy in this field of work, we offer an opportunity to be involved with a wide range of, challenging and exciting work. Our consultants deliver high quality, prompt and comprehensive regulatory advice to support our client’s meeting regulatory obligations.

This position would suit a person currently studying a Bachelor of Building Surveying, Bachelor Urban Development Majoring in Construction Management or equivalent qualification recognised by the Australian Institute of Building Surveyors (AIBS) or the Royal Institute of Chartered Surveyors (RICS).

Working with clients, councils and Philip Chun employees around the country your responsibilities will include checking and inspection of commercial and industrial building projects.  This is a full time position, commencing immediately.

Credit Controller – Sydney

Philip Chun is a multi-disciplinary consulting company providing certification, building code, accessibility, fire and life safety consulting services to the construction and development industry.

We have a position available for a Credit Controller in our Artarmon office.  This a part-time role of approximately 8 hours per week, which can be performed over 1 day or over 2 non consecutive days.

This role will be responsible for managing a book of debtor accounts to ensure timely payment of outstanding invoices.

To be considered for this position you must possess:

  • A minimum of 5 years practical experience within an accounts receivable and/or credit control environment.
  • Collection experience within the construction industry will highly regarded.
  • Strong analytical skills and attention to detail.
  • Good business acumen for problem solving.
  • Competency with large ERP systems (preference will be given to applicants who have experience with Deltek Vision).
  • Confidence to deal with a range of stakeholders.
  • Excellent time management skills with the ability to prioritise a demanding workload.
  • Ability to troubleshoot and resolve problems.
  • Work independently and under direction.

Duties and Responsibilities:

  • Undertake collection activity for Philip Chun & Associates Pty Ltd for:
    • NSW Building Code (approximately 100 invoices pm)
    • Western Australia Building Code (approximately 20 invoices per month)
  • Contacting clients by phone and email for payment of outstanding invoices.
  • Liaising with internal personnel including project managers as required.
  • Ensuring credit and collection policies and procedures are followed and updated where required.
  • Amend invoices to clients unique needs where required:
    • Provide invoices in a unique format as required
    • Purchase order number  are provided where required
    • Invoices are sent to the correct person
    • Work with Account Managers to have invoices amended and reissued as required
  • Provide reports on collection activity and progress as required.
  • Escalate matters which are preventing payment of invoices to the

Key Performance indicators

  • Percentage of outstanding invoices over 90 days less than 7.5%
  • Average age of outstanding invoices less than 60 days
  • Reports are provided within agreed timeframes

Salary Package

An attractive hourly rate commensurate with skills and experience will be negotiated with the successful applicant including incentives.
